#895 - Severals users on the same company

Hello, How are you today ?

I would like ton use your "Official SuiteCRM Outlook Plugin" on the same company.

There are 8 users. Each with Outlook (last version, 2016) bought from an office 365 monthly account.

I would like to use your plugin in order to sync all of the users info (Seamless synchronisations between contacts, meeting and tasks).

So, I will have "user1", "user2"... "user8" on my SuiteCrm. All of them belong to the same account 'CustomerCompany'.

But how do you manage the duplicate content ?

For example, user3 and user5 can receive emails from the same sender.

So these 2 users can have the same contact (sender), but with slighty infos, but the same email address.

Can you help me out on the point ?

    Hello,

    Emails - each user will have own copy of an email in CRM. This is like mirroring a mailbox. Same is for Tasks.

    Contacts, Leads, Accounts, Meetings are merged. If there is a record created by user1 and user2 is also adding same record during sync - no duplicate will be created and existing record reused.

      Hello Denis, Thanks for your reply. So if the users don't create the contacts in their outlook, your plugin will only sync the emails (and each user will have his own copy in the CRM).

      But if the users create the contacts in their outlook, these contacts will be merged and no duplicate will be create. Which data do you use in order to merge the records ? Firstname ? Lastname ? email ?

      With this information, I will ask my users to be very vigilant on this particular data.

      Also, do you think I can have 2 licences trials in order to test on 2 computers ?

      Hello Michey,

      Fields for matching records: Contacts, Leads - first name, last name, email Accounts - name, email Meetings - subject, begin time, end time

      You can have as many trial licenses as you need, no limits.

    Hello again :) Just a simple question for outlook : I know for "contacts" But how to input "leads" or "accounts" in outlook ? Greeting .

    Hello Mickey,

    Sorry, the plugin does not support Leads and Accounts sync. I mixed with a server-side product that we offer: AESync.

      Ok, so your plugin will only sync "contacts" from outlook to "contacts" in CRM, that is ?

      Can you tell me where the "contacts" will appared in the CRM ?

      Under a specific account ? or a specific user ?

      Exemple : I have 2 users (users1 and user2) and an account (MyCompany), then if I sync with your plugin.

      For user1 (or user2), will the contacts from outlook will be linked to the account "MyCompany" or somewhere else ?

      And then when the merge action is done ?

    Hi Mickey,

    Contacts appear in CRM in the Contacts module. Depending on your visibility settings in CRM a Contact added for one user may be visible by others.

    Contact from Outlook is linked to a company in CRM which has same name as the value of CompanyName field in Outlook.
