User Guide

Revenue Engine AI is designed to give instant visibility into your pipeline, risks, and performance without requiring reports or manual analysis.


First-Time Setup

When opening the dashboard for the first time, an onboarding wizard will guide you through initial setup.

Steps include:

  1. Welcome and overview
  2. CRM connection validation
  3. Data readiness check
  4. Optional AI configuration
  5. Launch dashboard

The wizard runs automatically on first load and ensures your system is ready to use.


Navigating the Dashboard

Sidebar Navigation

  • Use the left sidebar to switch between available views
  • The sidebar supports collapsing for smaller screens
  • Available views may vary based on role and settings

Global Date Filter

  • Located at the top of the dashboard
  • Supports preset ranges:
    • This Week, This Month, This Quarter, This Year
    • Rolling 30 / 90 / 180 / 365 days
  • Custom date range selection is also available
  • Selected range persists across sessions

All metrics and charts update automatically based on the selected date range.


Drill-Down Navigation

Many views support quick drill-down:

  • Click a representative's name in:
    • Team Leaderboard
    • Risk Radar
  • This opens the Rep Deep Dive view for detailed analysis

Core Views Overview

Revenue Command Center

  • High-level KPI overview of your business
  • Includes pipeline value, revenue, win rate, and trends
  • Displays AI-generated summary (if enabled)

Use this as your primary dashboard for daily or weekly reviews.


Pipeline Health

  • Shows distribution of deals across pipeline stages
  • Highlights overdue opportunities (past close date)
  • Displays pipeline coverage ratio against targets

Team Leaderboard

  • Ranks representatives by performance metrics
  • Sort by revenue, win rate, deal count, or activity
  • Click any rep to view their detailed profile

Activity vs Revenue

  • Visual comparison of activity levels versus closed revenue
  • Helps identify underperforming or highly efficient reps

Risk Radar

  • Identifies stalled deals and inactive reps
  • Flags:
    • Deals with no CRM activity or stage change in 14+ days
    • Reps with no recent logged activity
  • Stalled threshold is 14 days, calculated from last modification date

Use this view for proactive intervention before deals go cold.


Rep Deep Dive

  • Detailed performance view for a single representative
  • Includes:
    • KPIs
    • Pipeline breakdown
    • Activity history
    • Win/loss trends

Best used for one-on-one coaching sessions.


My Pipeline (For Sales Reps)

  • Personal deal list sorted by urgency and close date
  • Deals are grouped and color-coded by close date:
    • Rose/Red: Overdue (past close date)
    • Amber: Closing this week
    • Blue: Closing next week
    • Slate: Closing next month or later

Additional indicators: - Activity gap badge: shown when no contact has been logged in 7+ days - Risk badge: shown for high or medium risk deals - Suggested next actions per deal

Use this view daily to plan your work.


Revenue Realization

  • Tracks deal volume flowing through: Quotes → Orders → Invoices → Collected (Paid)
  • Identifies where volume is dropping off between stages
  • Useful for spotting fulfillment and billing bottlenecks

Note: This view shows deal and document counts at each stage. It requires the AOS Quotes, AOS Contracts, and AOS Invoices modules to be enabled in your SuiteCRM instance.


Conversion Flow

  • Shows lead-to-revenue funnel
  • Highlights conversion rates at each pipeline stage
  • Includes per-representative breakdown

Forecast Accuracy

  • Compares actual closed revenue against your quarterly target
  • Shows forecast gap percentage and trend over time
  • Quarterly target is configurable in Settings

Use this view for executive reviews and end-of-quarter variance analysis.


Account Intelligence

  • Pipeline concentration alerts grouped by account
  • Highlights accounts with high deal volume or risk exposure
  • Useful for identifying revenue concentration risk

Performance Index

  • Composite performance score (0–100) per rep and for the team
  • Weighted formula:
    • Revenue Realized: 40%
    • Conversion Rate: 30%
    • Activity Volume: 20%
    • Risk Penalty: up to −10%
  • Classifies reps into ELITE, CORE, and RISK performance bands

AI Insights (Optional)

  • Generates a plain-language summary of pipeline health
  • Highlights:
    • Top performers
    • At-risk deals
    • Coaching opportunities
    • Recommended actions

Requires an AI API key (Gemini, OpenAI, or Anthropic) to be configured in Settings → AI Configuration. A built-in engine provides basic local analysis without a key.

For Sales Representatives

  1. Open "My Pipeline"
  2. Review overdue and at-risk deals
  3. Act on deals with activity gaps (7+ days silent)
  4. Follow suggested next actions

Goal: Focus on the highest-impact deals first.


For Sales Managers

  1. Open "Revenue Command Center" for overview
  2. Review "Risk Radar" for stalled deals (14+ days)
  3. Check "Team Leaderboard" for performance trends
  4. Use "Rep Deep Dive" for coaching preparation
  5. Generate insights from "AI Insights" (if enabled)

Goal: Identify risks early and coach effectively.


For Executives / Leadership

  1. Review "Revenue Command Center"
  2. Check "Forecast Accuracy" for target tracking
  3. Analyze "Revenue Realization" for funnel drop-offs
  4. Track trends and forecast alignment

Goal: Maintain visibility and forecast accuracy.


Tips for Best Results

  • Review the dashboard at least once daily
  • Use rolling date ranges (e.g., 90 days) for trend analysis
  • Act quickly on stalled deals flagged in Risk Radar
  • Use Rep Deep Dive during performance reviews
  • Enable AI Insights for faster decision-making

Data & Performance Notes

  • All data is read directly from SuiteCRM in real time
  • No CRM data is modified or stored externally by Revenue Engine AI
  • AI insights require an external API call to your chosen AI provider — no data is sent to Zybroz
  • Performance depends on CRM data quality and volume
